Scan to File
The Copier or Multi Function Device (MFD) is now the “on ramp” for turning paper documents into electronic images. Documents can now be accessed by numerous persons with greater ease than if they were in the manila file folder buried on somebody’s desk. By setting up user friendly buttons on the Copier/MFD, users have the ability to transport documents right to a destination of their choosing. By having documents available to multiple persons, you can reduce lost office productivity time that can be applied to more efficient, income producing ways to your organization.

Here is a screen shot as to what you can accomplish by having documents scanned to file:

Once you have established your windows-based file folder structure, you now have prepared yourself for a Document Management Solution.

Scan to email
Email is becoming the defacto way to communicate. Having the ability to take that paper document and send it to a recipient’s email address has become one of the “neatest” advents to the office environment in a long time.

For organizations with an internal Microsoft Exchange Server, there is no need to manually type in the recipients email address with the QWERTY LCD keyboard. With a couple of touches on the LCD you can identify the recipient and within seconds the document is sent directly to the recipient’s inbox.

If compliancy and security are a concern, have your Copier/MFD integrate with your Microsoft Active Directory’s LDAP and users will need to use their windows username and password to gain access to the device and to select the recipients address. Documents will also appear in the user’s sent items folder in their Outlook and can be used for future reference.
